Getting Started

What is RosterPay?

RosterPay is a payment collection platform built specifically for travel sports organizations. It lets coaches create seasons with flexible payment plans so families can split season fees into automatic installments instead of paying a lump sum upfront.

Who is RosterPay for?

RosterPay is for coaches, team directors, and program administrators who collect season fees from families. It works for any travel sport — baseball, soccer, basketball, softball, volleyball, lacrosse, and more. Teams typically range from 10 to 500+ players.

How long does it take to set up?

Most coaches create their first season in under 5 minutes. Connecting a bank account for payouts takes an additional 5-10 minutes through Stripe's verification process.

Do families need to create an account?

No. Families receive a shareable link from their coach, click it on any device, choose their payment plan, and pay — all without creating an account or downloading an app.

Pricing & Fees

Is RosterPay free for organizations?

Yes. Organizations pay $0 to use RosterPay — no platform fee, no monthly subscription, no setup fee. You receive 100% of your stated season fee.

What do families pay?

Families pay a payment processing fee when they make each payment: 3.9% + $0.30 per credit/debit card transaction, or $5 flat for bank transfers (ACH). This is the standard cost of online payment processing.

Can I include the processing fee in my season price?

Yes. Many coaches increase their stated fee by a few percent so the net they receive after processing equals their target amount. This way families see a clean number.

Are there any hidden fees?

No. Organizations pay nothing. The only fee families pay is the processing fee, which they see before confirming their payment.

When does our organization receive the money?

Stripe deposits funds on a rolling 2-day basis. Payments collected Monday are typically available in your bank account Wednesday.

Payment Plans

What payment plan options can I offer?

You can offer 3, 4, or 5 installment payments, or require full payment upfront. You can mix and match — for example, offer 3 or 5 payments, with a discount for paying in full.

What is an early pay discount?

An optional incentive you can configure to encourage families to pay the full season fee upfront. For example: '5% off if you pay in full today.' Families choosing installments pay the regular price.

What happens if a payment fails?

RosterPay automatically retries failed payments and notifies the family to update their payment method. Failed payments update the player's cleared-to-play status until resolved.

Can I manually mark a payment as received?

Yes. If a family pays by cash or check offline, you can manually record that payment in the dashboard. The player's cleared-to-play status will update accordingly.

Can families change their payment method?

Yes. Families can update their card or bank account before the next scheduled payment.

Roster & Play Status

What does 'cleared to play' mean?

A player is 'cleared to play' when they are current on their payment plan — meaning all payments due to date have been made. Players with upcoming payments or fully paid are green. Players with overdue payments are red.

How do I see who is cleared to play?

Your dashboard shows a roster with real-time payment status for every enrolled player. Green = cleared, yellow = upcoming payment due, red = overdue. You can pull this up on your phone right before practice or a game.

Can I manage multiple teams in one account?

Yes. One organization account can have unlimited teams and seasons. You can see each team separately or view across your entire organization.

Can I export my roster?

Yes. You can export roster data and payment history as a CSV file for use in Excel, Google Sheets, or any other tool.

Security

Is it safe to collect payments through RosterPay?

Yes. All payments are processed by Stripe, which is PCI DSS Level 1 compliant — the highest level of payment security. RosterPay never stores card numbers. Stripe handles all sensitive financial data.

Is my family's financial information secure?

Yes. Payment data is stored securely by Stripe, not by RosterPay. Stripe uses bank-level encryption and is trusted by millions of businesses including Amazon, Target, and Shopify.

What payment methods are accepted?

Visa, Mastercard, American Express, Discover, debit cards, Apple Pay, Google Pay, and bank transfers (ACH).
